We back up all data fully, automatically, and continuously monitored to a separate server. Even in the unlikely event of a hardware failure, data can be restored within a very short time.

No sharing of data with third parties

Your data is not shared with third parties. We use your email address exclusively for appointment scheduling purposes and never pass it on to third parties.

We are aware of the importance of the personal data you entrust to us. We consider it one of our most important tasks to ensure the confidentiality of your data. With regard to all data protection aspects: with Terminarena we provide a tool for you and your company with which you can enter, view, change, and delete data. Our services do not require our employees to view, modify, or delete your data. We therefore do not come into direct contact with your data; only you have control over it.

What sources and data are used?

With Terminarena we provide a tool for entering, editing, managing, evaluating, and tracking customer appointments for your end customers. The software allows settings such as opening hours, services, resource configuration, rights management, corporate design settings, and more.

Users of Terminarena can create personal user accounts in accordance with the terms of use, whose data is processed and managed automatically.

We therefore process personal data that we receive in the course of using Terminarena. Data is entered via the input forms provided by Terminarena and processed automatically without access or review by our employees.

Relevant personal data we may process includes: name, business address and other contact details (phone, email address), preferred language for using the software, company branch affiliation, department affiliation, information about customer appointments, profile picture, custom fields, and more.

For what purpose are your data processed and on what legal basis?

Personal data may be processed on different legal bases. If processing is necessary for the performance of a contract or pre-contractual measures, the legal basis is Art. 6(1)(b) GDPR. If consent is obtained, the legal basis is Art. 6(1)(a) GDPR. Some processing is carried out on the basis of legitimate interest, balancing your interests against ours. In such cases, the legal basis is Art. 6(1)(f) GDPR. Where processing is required to comply with a legal obligation, the legal basis is Art. 6(1)(c) GDPR.

This data is technically required to display our website and ensure stability and security. We and our service providers do not regularly know who is behind an IP address. We do not combine this data with other data sources.

Legal basis is Art. 6(1)(f) GDPR. Since the collection of this data is necessary for operation and security of the website, our legitimate interest prevails.

What data is processed when contacting us via email or contact form?

When contacting us via email or contact form, the data you provide (email address, name, phone number if applicable) is stored to process your request. Where optional fields are provided, these are used to better handle your inquiry. Providing them is voluntary and based on consent (Art. 6(1)(a) GDPR). You also agree that we may contact you via the provided channels to respond to your inquiry. This consent can be withdrawn at any time.

Your data will be deleted once it is no longer required for processing the request and no further communication is necessary or desired.

Data is entered, edited, changed, or deleted by the user in Terminarena. Employees of the provider technically have the ability to access the data but do not do so without explicit prior instruction. Such instruction may occur in the following cases:

Data transfer to third parties occurs as follows:

Terminarena is operated in a secure data center near Frankfurt am Main (Germany). The hosting provider only provides infrastructure (computing power, internet connectivity, storage) and does not access or process personal data.

Payment and billing data is processed by our payment provider Paddle: Paddle.com Market Ltd., Judd House, 18-29 Mora Street, London EC1V 8BT, United Kingdom. Only payment-related data is transmitted.

Is data transferred to third countries or international organizations?

No data transfer to countries outside the EU/EEA takes place, except for the providers mentioned above.

How long is data stored?

We process and store your personal data as long as necessary to fulfill contractual and legal obligations and as long as you use Terminarena.

You may delete your data yourself at any time within Terminarena. Additionally, Terminarena allows you to configure automatic deletion intervals.

For security and recovery purposes, we create automated backups of all data. Backups are retained for a maximum of 28 days and then deleted automatically.

What data protection rights do you have?

Every data subject has the right of access (Art. 15 GDPR), rectification (Art. 16 GDPR), erasure (Art. 17 GDPR), restriction of processing (Art. 18 GDPR), objection (Art. 21 GDPR), and data portability (Art. 20 GDPR). Complaints may be lodged with a supervisory authority (Art. 77 GDPR).

Any consent given may be withdrawn at any time, including consents given before 25 May 2018.

Is there an obligation to provide data?

Providing data in Terminarena is voluntary. You decide which data you enter. In some cases, certain data is technically required to use Terminarena.

Is automated decision-making (including profiling) used?

No automated decision-making within the meaning of Art. 22 GDPR takes place. No profiling is carried out.

Are cookies used?

A cookie is a small data package exchanged between your browser and a web server. Cookies are used in Terminarena to ensure technical functionality.

Cookies are used, for example, to store your login session. Without cookies, login would not be possible. Only technically necessary cookies are used.

How is consent to data processing given?

By using Terminarena and registering an account, you agree to data processing in accordance with this privacy policy.

What obligations does the user have?

Before entering data of third parties into Terminarena, users must ensure they have obtained consent. Users must comply with all applicable data protection and organizational requirements.
